Your event booking
Once your booking request and payment has been received, your reservation will be confirmed, this will be by e-mail or post.

Your event payment
You will need to pay at the time of booking an event.   You are able to pay online (WorldPay) or by telephone using a debit/credit card or by post through a cheque payment.

Holding of tickets
Unless specifically arranged otherwise, your ticket will be held by the event host. Should you wish a ticket to be sent to you, there will be a small additional charge and you will be responsible for ensuring you have the correct ticket when you attend the event.

Allocation of tickets
This will be on a ‘first come, first served basis’.  It is members’ responsibility to book early to ensure the availability of a ticket. When an event is over-subscribed and numbers justify it, we will use our best endeavours to arrange a second event.

Members only
Solo Arts Scene is a members’ only organisation and only members can attend events.  The only exception to this will be special introductory events, which will be advertised separately.

Discounts
For recommending the club, resulting in a new member joining, there will be a 10% discount off the next year's membership.

Late bookings
Wherever possible we will accommodate requests for late bookings, although no guarantees can be given that this will be possible.

Late arrival
Unless otherwise stated, it is your responsibility to ensure you attend events on time. No guarantee of admission or inclusion in an event can be given in respect of late arrival.  Admittance or inclusion will be at the discretion of the event host, the main organiser or the supplier of the event (eg theatre, museum etc).  

Getting to and from events
Unless otherwise stated, members are responsible for getting themselves to and from arranged events.

Special needs
If you have special needs please notify us at the time of booking.  Unfortunately, some aspects (eg wheelchair access) will be outside of our control, so we cannot guarantee special needs can always be met and they do not form part of our contracted obligations.  We will however, pass on details of your special needs to the relevant event location and we will use our best endeavours to ensure your needs are met.

Minimum numbers
Each event is based on a minimum number, normally 10 people. Solo Arts Scene reserves the right to cancel an event if such numbers are not reached.  We will notify you of this as quickly as possible and a full refund will be given.  Solo Arts Scene will not pay compensation nor be responsible for any costs or expenses incurred by you as a result of such cancellation.

Cancellation of an event by third parties or circumstances beyond our control
Solo Arts Scene cannot accept any responsibility for events cancelled by the main organiser or third parties.  In the event of this happening the main organisers refund policy will apply.  Solo Arts Scene will not pay compensation nor be responsible for any costs or expenses incurred by you as a result of such a cancellation.

If Solo Arts Scene cancels an event
Cancellation may be necessary in exceptional circumstances and Solo Arts Scene reserves the right to use its discretion to cancel an event.  If this occurs you will receive a full refund. Solo Arts Scene will not pay compensation nor be responsible for any costs or expenses incurred by you as a result of such a cancellation.

If you wish to cancel a booking
This will depend on the event being arranged. Your ability to cancel an event and any dates applicable will be given with details of the event.  Should you cancel after the date given then, whilst we will make every effort to reallocate your ticket, should this not be possible no refund will be given. [There will be a small administrative charge for late cancellations].

Your right to cancel membership
If you are a full annual member you can cancel your membership within the first 6-months and you will receive 40% of the original fee paid.  A request to cancel membership must be made in writing.  If you have taken a 6-monthly membership no refund is possible.

If Solo Arts Scene cancels your membership
Solo Arts Scene reserves the right to refuse membership, renew or cancel membership.  In the event of Solo arts Scene cancelling your membership you will be entitled to a 50% refund of the outstanding pro-rota membership period. 

Inappropriate conduct
Any person behaving in an antisocial manner and/or under the influence of alcohol or drugs will be asked to leave an event and no refund will be given.  If in our reasonable opinion, you have behaved in an antisocial way or your behaviour is causing damage or affecting the enjoyment of others, we reserve the right to cancel your membership of Solo Arts Scene.  In the event of this happening, the terms of “If Solo Arts Scene cancels your membership” apply.

Our team
We are committed to providing a friendly high quality service and we expect our staff to be treated with respect at all times.  We reserve the right to cancel or refuse membership, if in our opinion, you have not met these requirements.

Data protection Act
In order to ensure that your membership runs smoothly and to process your event bookings, Solo Arts Scene needs to use the information you provide, such as your name and address.  We take full responsibility for ensuring that proper security measures are in place to protect your information.  We will not sell or otherwise share your personal information with third parties without your consent.  We may disclose your personal information if required to do so by law or in good-faith believing such action is necessary to comply with the law. 

If you have a complaint
If you have cause for complaint whilst at an event, this must be brought to the attention of the Solo Arts Scene host immediately and they will endeavour to put things right.  Failure to report your complaint in this way may jeopardise any complaint or claim you subsequently make.  If the event host is unable to resolve the problem, or if you wish to take matters further, details of your complaint should be made in writing to Solo Arts Scene headquarters office within 28 days of the event.

Web site/or event list accuracy
Every effort is made to ensure that the details, descriptions and prices contained on the web site or other published information is correct.  However, changes can occur, outside our control, and you will be notified of these as quickly as possible.

Solo Arts Scene responsibility to you
We undertake to take all reasonable skill and care in arranging events.
